Administrative Assistant

  • The Administrative Assistant (part time - 20 hours/week) facilitates the efficient operation of the church offices of both First and Faith by performing a variety of clerical, administrative, and office support tasks.

    Supervisory Responsibilities: None

    • Perform receptionist duties: answers phone and directs calls, takes and delivers messages, and screening when necessary.

    • Open mail/handle correspondence.

    • Maintain prayer list and special requests from members and others, gather and distribute via e-blast and bulletin, per Pastors direction.

    • Maintains filing systems as assigned.

    • Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed.

    • Responds to and resolves administrative inquiries and questions.

    • Maintains office supplies and coordinates maintenance of office equipment.

    • Publish and distribute weekly bulletin, electronic e-blast church newsletter, special event materials, etc., as directed by Pastors

    • Charge Conference Paperwork and submittals

    • Performs other related office administrative duties as requested by the Sr. Pastor.

    • Comporting self in an appropriate manner in a church environment.

    • Must be reliable and extremely trustworthy.

    • Excellent verbal and written communication skills.

    • Excellent interpersonal and customer service skills.

    • Proficient in Microsoft Office Suite or related software.

    • Excellent organizational skills and attention to detail.

    • Basic understanding of clerical procedures and systems such as recordkeeping and filing.

    • Ability to work independently.

    • Associate’s degree required or equivalent experience.

    • Three to five years of experience in an administrative / office manager role.

Bookkeeper/Payroll Specialist

  • This is a part-time (28 hrs./week) multi-faceted role that includes work in the areas of bookkeeping, payroll, and accounts payable/receivable. This role will maintain accounting records for the church and perform complex clerical, bookkeeping, and accounting assignments and prepare accounting and financial reports for our Sr. Pastor, Finance Secretary, and our Management Team.

    Supervisory Responsibilities: None

    • Records numerical and financial data in our accounting system to produce financial records and ensure financial data is entered correctly and accurately.

    • Enters journal entries to debit and credit the church’s accounts.

    • Generates accounting and audit reports for cash receipts, accounts payable and receivable, expenditures, monthly, quarterly, and annually as required.

    • Reconciles and reports differences or issues found in financial records.

    • Generates summary reports to be used by Pastor, Finance Team, and other ministry leaders, and financial auditor

    • Manages E-Giving/E-Pay Account and E-Giving page and distributes contribution statements.

    • Processes payroll and prepares necessary reports for Church and Pre-school (every 2 weeks).

    • Allocates expenditures to correct accounts according to church procedures.

    • Receives and verifies expense reports; reconciles expense and other financial reports with account balances and other office records.

    • Facilitates payment of vendors, which may include verification of federal ID numbers, reviewing purchase orders, and resolving discrepancies (FPL, Water, Comcast, credit cards, etc.).

    • Ensures outstanding obligations are credited upon payment, identifies discount opportunities, and issues purchase order amendments or stop-payment orders as needed.

    • Assists with accounting records and ledgers by reconciling monthly statements and transactions.

    • Maintains accounting and financial filing systems in a secure manner.

    • Records entry of, verifies documentation for, and distributes petty cash.

    • Performs other related duties as assigned.

    • Must be reliable and extremely trustworthy.

    • Must be proficient in Microsoft Office Suite and related programs.

    • Must be able to learn other software systems as required.

    • Excellent organizational skills and attention to detail.

    • Ability to maintain confidentiality and meticulous records.

    • Knowledge of spreadsheets and ability to use accounting software to record, and store, financial data (Shepherd’s Staff).

    • Ability to efficiently operate a 10-key calculator or equivalent and other related office equipment.

    • Knowledge of administrative and clerical procedures.

    • Understanding of bookkeeping practices and procedures, with ability to train others in related practices and procedures.

    • Excellent written and verbal communication skills.

    • Ability to follow verbal and written instructions.

    • Ability to type at least 40 words per minute.

    • High school diploma or equivalent required; Associate degree with accounting coursework preferred.

    • At least three years of bookkeeping experience required, preferably in church ministry.
